Requisition ID: 277731  Relocation Authorized: None  Telework Type: Part-Time Telework  Work Location: Brisbane, QLD  Energy Resources of Australia (ERA) is rehabilitating the Ranger Uranium mine in the Northern Territory following the cessation of operations in 2021.  The Ranger Project Area is being rehabilitated so that it can be reincorporated into the surrounding Kakadu National Park and returned to the Mirrar traditional owners. ERA appointed Rio Tinto to manage the Ranger Project from June 2024 and Bechtel are continuing to support ERA and Rio Tinto with the study, project execution and project services. The project office is in Brisbane and has ongoing coordination with site works in Jabiru, NT, the ERA office in Darwin and the Rio Tinto organisation. The Project Office Administrator will support personnel working in and visiting the Brisbane project office including Rio Tinto, ERA and Bechtel personnel. Ongoing coordination with site team in Jabiru, NT, the ERA office in Darwin and the Rio Tinto organisation will also be required. The project office functions include studies, project controls, procurement and contracts, finance, HR, legal. The Project Office Administrator will support these functions as required and may supervise additional administrators supporting these functions if required. Duties require accuracy, judgment, a high degree of initiative, discretion, diplomacy, and knowledge of protocol; you must be able to anticipate changing priorities and problems. Provides one or more of a wide variety of administrative support services within departments and projects through research, analysis, and coordination with functional departments and disciplines. Uses office automation tools. Major Responsibilities: Coordinating requests from clients, managers, and in-house staff, determining action on important or emergency matters or knows whom to contact in absence of the manager. Collecting, reviewing, and distributing incoming hard copy and electronic mail, independently handles mail not requiring the manager’s attention. Coordinating complex travel arrangements, including details of business plans; preparing itineraries and expense reports. Coordinating meetings, arranging for facilities, equipment, and refreshments, preparing and distributing notices, agendas, information packets, and minutes. Independently maintaining a hard copy or electronic calendar for the responsible manager. Developing and guiding the implementation of office procedures and of filing and record-keeping systems. Onboarding new starters and offboarding on assignment completion. Create templates documents for procedures, meetings, management documents. Reviews incoming communications, work orders, and service requests for subject matter content and routes them to appropriate supervisor’s attention. Composes routine correspondence in response to requests for department services; answers inquiries from other departments, area offices, or outside entities. Monitors all follow-up actions required by supervisor/manager. Extracts data from reference material, either semi-technical or non-technical in scope. Compiles, analyses, and prepares or helps prepare information for studies or reports, such as organization planning, charts, graphs, and work load forecasts. May assist in the recruitment of clerical and other support personnel. Organizes material for meetings, presentations, and training sessions. May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences. Helps develop and monitor budget or financial information, such as comparing past costs with future costs, auditing invoices, and verifying labour reports. Reviews deliverables of assigned staff and monitors quality to ensure that all documents conform to established standards and procedures. May implement records management program. Maintains files of various historical data. May assist in personnel activities, such as recruitment, policy administration, compensation administration, or employee development. Assists in cross-training other personnel in professional or discipline-specific skills, techniques, and procedures. Performs other duties as assigned by supervisor. Education and Experience Requirements: Solid experience in similar role. Required Knowledge and Skills: Excellent interpersonal and communication skills, with the ability to build relationships. Proactive and takes responsibility for work. Creative and analytical skills would be highly valued to support PowerPoint presentation development and collation of market information. A flexible team player who enthusiastically collaborates across our teams. Ability to multitask, while being highly organized and juggling multiple work streams. Demonstrated knowledge of filing systems and common office procedures. Excellent written and oral communication skills Knowledge of technical vocabularies and terminology common to the assignment Demonstrated knowledge of administrative functions, including budget and financial functions Basic skills in training and supervision of personnel Ability to develop and analyze information for studies and reports Knowledge of Bechtel’s organizational structure, functions and procedures Intermediate knowledge of software applications, creating spreadsheets with mathematical functions, and enhancing presentation reports Working Rights in Australia without employer sponsorship are required.
