Job Description
Overview:
As a Document Controller&Procore Admin, ensuring that all project documentation is efficiently managed, stored, and accessible throughout its lifecycle. You will support the project teams by handling and organizing all administrative and documentation tasks within Procore, making sure that all project records are accurate, up-to-date, and compliant with company standards and industry regulations.
Key Responsibilities:
* Oversee the document control processes for all ongoing construction projects, ensuring consistency, accuracy, and organization.
* Manage the uploading, distribution, and retrieval of documents using Procore software.
* Review and process incoming and outgoing project documentation (drawings, contracts, reports, RFIs, submittals, etc.).
* Ensure all documents are correctly filed and indexed, enabling efficient retrieval.
* Maintain an organized document management system, both digitally and in hard copy (where applicable).
* Collaborate with project managers, engineers, architects, and other stakeholders to ensure document flow and approval processes are efficient.
* Assist with the creation, editing, and formatting of project-related reports and correspondence.
* Provide administrative support to the project teams, including scheduling meetings, taking minutes, and preparing project documentation.
* Monitor and ensure compliance with project specifications, contract requirements, and document control protocols.
Key Requirements:
* Proven experience as a Document Controller, Administrator, or similar role in a construction or engineering environment.
* Proficiency in using Procore or similar construction management software.
* Strong organizational skills with a keen eye for detail.
* Excellent communication and interpersonal skills to collaborate effectively with various teams and stakeholders.
* Ability to manage multiple tasks simultaneously and meet deadlines.
* Knowledge of construction documentation, terminology, and industry standards is an advantage.
* Good working knowledge of Microsoft Office Suite (Word, Excel, Outlook).
* A proactive approach to problem-solving and process improvement.
Desirable Qualifications:
* A relevant qualification in business administration, construction management, or a related field is preferred.
* Experience with construction project management software and systems.
* Knowledge of building and civil engineering standards and regulations.
