Role and Responsibilities
· Prepare, edit, and proofread correspondence, documents, reports, and related materials.
· Answer telephone and electronic enquiries and relay telephone calls and messages.
· Manage the flow of information internally and with other departments and organizations.
· Greet visitors, ascertain the nature of their business, and direct them to appropriate person.
· Review, approve, and assist in creating weekly schedules and complete time approvals in TrackTik.
· Participate in and perform ad-hoc tasks to support the National Management team in achieving organizational and operational goals and take ownership of TrackTik administration.
· Assist with general office administration, ad-hoc projects, and provide support to the administrative and leadership teams.
· Manage and update the employee database, including contact information, schedules, and availability.
· Handle confidential information with discretion and compliance.
· Organize and maintain filing systems for sensitive and confidential company documents.
· Prepare and distribute company communications, such as memos, emails, invoices, reports, and other correspondence.
· Arrange travel and accommodation for management and staff as required.
· Order office supplies and maintain inventory control to ensure efficient office operation.
· Assist in the planning and execution of company events and meetings.
· Provide support for emergency response plans and procedures.
· Assist the HR department in onboarding new security personnel, including preparation of employment contracts.
· Assist with any other duties as assigned by management, demonstrating flexibility and a willingness to contribute to various aspects of the organization's operations.
Education, Skills and Competencies Required
Education/Experience: Minimum 1 year of experience or completion of college or other program in administrative assistants/secretaries.
Communication Skills: Excellent verbal and written communication abilities.
Organizational Skills: Strong ability to organize, multitask, prioritize, and work under pressure.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn new software.
Interpersonal Skills: Good interpersonal skills to interact with a diverse group of people, including staff, management, and external partners.
Attention to Detail: High level of accuracy and attention to detail.
Problem-Solving Skills: Ability to identify and resolve problems efficiently and effectively.
Discretion: Capable of handling sensitive and confidential information with discretion.
Proactive: Takes initiative and works well independently as well as part of a team.
Adaptability: Flexible and able to adapt to changes in workload and tasks.
Punctuality and Reliability: Must be dependable, timely, and reliable, especially in responding to urgent security needs.
Ethical: Strong ethical standards and integrity are essential in a security-related environment.
