We are currently looking for an Event Coordinator to join our thriving team. At this role, you will be responsible for planning and organizing events by collaborating with clients, vendors and suppliers ensuring everything runs smoothly and clients are pleased without exceeding the client's budget.

Position: Event Coordinator
Type of employment: Full time; Permanent

Salary: $34.65 per hour
Anticipated Start date: As soon as possible
Work Location: Unit 101 - 13463 78 Avenue, Surrey, BC, V3W 0A8 and various other locations in the Greater Vancouver Region
Role and Responsibilities
· Meet with clients, sponsors, and organizing committees to understand event requirements, themes, and décor preferences for occasions such as weddings, receptions, birthdays, anniversaries, and special promotions.
· Collaborate with clients to create custom décor concepts, including floor wraps, panels, signage, and decorative boards, ensuring alignment with their vision and the company's high design standards.
· Coordinate all event décor services, including selection of materials, colors, patterns, and installation schedules, to ensure exceptional execution.
· Plan, design, and oversee the installation of decorative elements, such as floor wraps, backdrops, floral arrangements, lighting, and table settings, to create stunning visual experiences for events.
· Negotiate contracts with vendors and suppliers for décor materials, approve invoices, maintain financial records, and ensure cost-effective solutions while delivering superior quality.
· Hire, train, and supervise support staff responsible for the setup, maintenance, and removal of event décor.
· Organize logistics related to décor transportation, setup, and dismantling to ensure timely delivery and seamless execution.
· Ensure compliance with local by-laws and safety regulations related to event décor, installation, and removal processes.
· Oversee the preparation of promotional materials, including brochures, social media campaigns, and client presentations, to showcase the company's unique event décor capabilities.
· Conduct post-event evaluations to gather client feedback, review financial performance, and identify opportunities for improvement.
· Innovate and push boundaries by exploring non-traditional colors, materials, and shapes to create bespoke, memorable décor solutions that exceed client expectations.
· Collaborate with Design Associates to develop clever, high-quality designs tailored to client needs and aligned with the company's mission of delivering exceptional craftsmanship and customer service.
· Foster strong client relationships by providing personalized service and addressing all inquiries promptly to ensure a positive customer experience.
Education, Skills and Competencies Required
· Relevant Education (degree/diploma) or 2-3 years of experience.
· Expertise in creating and executing event décor concepts.
· Strong project management and organizational skills.
· Knowledge of materials, colors, patterns, and themes.
· Excellent negotiation skills for vendor coordination.
· Familiarity with compliance and safety regulations.
· Proficiency in design tools like Adobe Creative Suite or Canva.
· Strong communication and client service skills.
· Ability to lead and manage support teams.
· Flexible schedule, including evenings and weekends.
· Comfortable with physical tasks like lifting and setup.
· Innovative, proactive, and solution-oriented mindset.
· Commitment to quality and exceptional client experiences.
