We are seeking a highly organized and detail-oriented Administrative Assistant to support the smooth functioning of our office. The ideal candidate will be responsible for a variety of tasks, from managing communication to assisting with client inquiries and sales processes. Strong communication skills in English are essential for this role, as well as proficiency in office software. Communication skills in Chinese are preferred, but not necessarily required.

Working hours: 30 hours/week (Full-time).
Salary: $26.44/hour.

Key Responsibilities:
Open, review, and distribute incoming regular and electronic mail, and coordinate the flow of information within the company and with external departments and organizations.
Schedule and confirm meetings for sales personnel and employers, and assist in organizing conferences and events.
Order office supplies, maintain inventory levels, and ensure the office is well-stocked with necessary materials.
Answer telephone and electronic inquiries, including client questions related to immigration services, and relay telephone calls and messages to the appropriate team members.
Set up and maintain both manual and computerized filing systems to ensure proper documentation and easy access to information.
Greet visitors, determine the nature of their business, and direct them to the appropriate person or department.
Record and prepare minutes of meetings and distribute them as required.
Assist in asset sales by providing excellent customer service, answering client inquiries related to immigration processes, and guiding them through the sales process.
Demonstrate excellent skills in office software, including proficiency in Microsoft Office Suite and other essential tools.
(If applicable) Provide translation services between Chinese and English to facilitate clear communication between team members and clients.
