Job Duties:
· Coordinate and plan office activities, including creating important office forms, and contacting customers for pick up and delivery of cargo.
· Prepare a work schedule based on information provided by the manager, and owner, based on deadlines.
· Delegate work to office support staff, and ensure deadlines are met and compliance with the company's procedures.
· Prepare and proofread correspondences, and invoices to be sent to the clients.
· Ensure that the mail letters are kept in a safe and secure place so that a proper record is maintained.
· Effectively manage the company email inbox to ensure that client/vendor correspondences are managed properly.
· Coordinate the flow of information internally with the current employees to ensure that the team remains well-connected throughout.
· Answer telephone inquiries and convey messages to the related employee.
· Manage and organize office administrative procedures and documentation system, and periodically implement new procedures to improve efficiency.
· Prepare and maintain data like hours of service, schedule of employees, etc. and prepare documents like experience letters, promotion letters, etc. upon instruction from superiors.
· Follow up with clients about the status and payments for invoices.
