Overview
Smart Motion Physiotherapy and Sports Clinic is looking for a highly capable and experienced Office Administrator to lead administrative operations within our busy clinic. The successful candidate will oversee the daily functions of the office, ensure smooth workflow, and support both staff and clients through efficient coordination and leadership.
Key Responsibilities
Review and evaluate new administrative procedures
Delegate tasks and supervise office support staff (3-4 employees)
Establish work priorities, ensure procedures are followed, and deadlines are met
Carry out all administrative activities of the clinic
Administer policies for records access and privacy compliance (government legislation)
Coordinate office services such as accommodations, relocation, supplies, maintenance, and security
Assist in the preparation of the operating budget and maintain budgetary controls
Assemble data, prepare reports, manuals, and correspondence
Perform data entry with high accuracy
Train new staff members and support their development
Oversee payroll administration and control expenditures
Resolve workplace conflicts professionally and efficiently
Plan and supervise all office administrative procedures
Qualifications
Education:
Secondary (high) school graduation certificate
Experience:
2 years to less than 3 years in an administrative or office supervisory role
Language Requirements:
English (required)
Technical Skills
Proficient in Mac OS, MS Office (Word, PowerPoint, Outlook, Excel), and office software
Strong understanding of data entry, budget planning, and record-keeping
Familiar with privacy legislation and compliance requirements
Work Conditions
